Admission Process for International Exchange Students

THINGS TO DO BEFORE LEAVING FOR YOUR MOBILITY STAY

1. Mobility Information Sessions

Register and attend the mobility information sessions at your Faculty. We will give you information about the different kinds of mobility programmes and destinations available, requirements for participation, Erasmus+ grants and other financial grants and procedures and application deadlines. Click here for specific information for each faculty.

2. Admission Application

Create your mobility application in the Relint 3.0 programme - instructions. You can start your application, save it and carry on later. However, you should bear in mind that applications will not be accepted after the deadline established for the corresponding academic year.

3. Mobility Decision

The decision will be notified by e-mail, on a list which will indicate the destination assigned to each applicant. You will be given 10 working days to confirm or reject the place you have been given by e-mail. If you fail to contact the International Relations office, it will be understood that you accept the assigned place.

4. Nomination of the target university

After confirming your place, we will nominate you to the target university. This means we will officially send your data to the target university to which you have been assigned.

5. Contact from the target university

The target university may contact you at any time after this point to inform you about the application procedure you need to follow. This procedure, as well as the documentation requested, will be your responsibility. You must contact the target university with any doubts you may have regarding the application procedure. At UIC Barcelona, we will provide guidance and mediate if you fail to receive a response.

6. Mobility Preparation Workshop 1: “Documentation and Procedures"

You will receive an e-mail with information about the workshop and a link to sign up. The preparation workshops are essential for mobility and must be attended. At Workshop 1, we will provide information about the next steps to be taken in the mobility process, as well as the deadlines, documentation to be processed before, during and after your mobility period and other necessary considerations concerning enrolment, grants, recognition, etc. Check out the "Checklist of mobility tasks”. From this point forward, you will be responsible for processing all the documentation and procedures necessary for your mobility programme:

DOCUMENTATION BEFORE THE STAY

  • B2 certificate of the language at the target university/country. This requirement may vary depending on the target university. Ask the International Relations Service at UIC Barcelona. If you do not have a certificate, we recommend you find out about exam dates and sign up for one of the exams that certify this level. Consult the Institute for Multilingualism.
  • Learning Agreement (LA) o Training Agreement (TA).
  • Grant Agreement (only Erasmus+ students)
  • Application to the target university - you will receive the instructions from your target university.
  • Test 1 Online Language Support (OLS).
  • Acceptance Letter – request from the target university
  • Application for additional grants (MOBINT and Santander Iberoamérica) – you will receive an informative e-mail when the application period opens
  • Accommodation management – ask your target university
  • Medical insurance: you can purchase it in this link from our provider ERGO

DURING YOUR STAY

  • Certificate of Arrival and Departure
  • Document with changes to the L.A./T.A. (“During Mobility” part) (where relevant, during the stay)
  • Certificate of Departure

AFTER YOUR STAY

  • Test 2 OLS.
  • Erasmus+ Questionnaire – you will receive an e-mail with the link to the questionnaire
  • Full L.A/T.A., with the original signature and stamps
  • Transcript, if the target university has given it to you. Otherwise, it will be sent to UIC Barcelona at a later date.

7. Mobility Preparation Workshop 2: “How to deal with Culture Shock”

You will receive an e-mail with information about the workshop and a link to sign up. The preparation workshops are essential for participation in a mobility programme and must be attended. In the second workshop, you will discover some of the cultural difficulties you may face during the exchange and the feelings these can cause, and reflect on the best way to overcome them.

8. Creation of your Learning Agreement (L.A.) - study mobility- / Training Agreement (T.A.) -Practical work experience mobility- in the Relint 3.0 - programme L.A/T.A.

If you have any doubts, about recognition for instance, please ask the Academic Coordinator for your faculty. This is the person responsible for assessing you academically and the only person who will be able to approve the choice of subjects.

WARNING!

  • No subject that has not previously been approved by the Coordinator will be recognised as equivalent.
  • Students who have been granted an Erasmus+ mobility place: save a PDF copy of the Relint 3.0 L.A. and send it to the target university to request their signature and seal before starting your mobility programme. The target university should return it by e-mail. You will find more information about the documentation you need to complete before, during and after your mobility programme in the "Chart of international mobility tasks (outgoing students"."

9. Acceptance Letter from Target University

Once you have completed the admissions process at the target university, it will send you an Acceptance Letter whereby you will be officially accepted into the university. This letter usually arrives by e-mail. If you need it in advance, do not hesitate to request it from your target university.

WARNING! If you are travelling to a country outside the EU, you may need to apply for a student visa. You may do so at the Spanish consulate or embassy in the target country. You are the only person responsible for this procedure. Contact the target university as soon you are assigned a place.

10. Registration and Payment

Pay the cost of your registration as you would each year.
When enrolling, bear in mind the subjects you have previously agreed upon in your Learning Agreement (those that will be recognised as equivalent on your return). Some target universities may ask you to pay administration costs (insurance, processing of grades, copying services, etc.). This is normal, but if you have any doubts, please ask us.
